The challenge: Investor data spread across four disconnected systems
A Jersey-based financial services firm identified a growing challenge within its investor data management processes. The same client information was being maintained across four separate systems, with no single source of truth connecting the data.
Core investor details were held within a CRM and static data system, while share register information was maintained across the accounting system and multiple Excel spreadsheets. Critical compliance information, including risk assessments, politically exposed person (PEP) data and customer due diligence (CDD) status, was managed separately through additional spreadsheets.
Supporting CDD documentation and investor correspondence were stored independently across SharePoint locations and Windows File Explorer folders. This fragmented approach increased operational risk through inconsistent filing structures and created the potential for documents to be misplaced, duplicated or inadvertently deleted.
As the business continued to grow, it became clear that replacing one disconnected system with another would not solve the problem. The firm needed a single, connected investor data platform that could bring client records, compliance information, documentation and operational processes together around one trusted source of truth.

Why it mattered: Reduced confidence in data
Without an integrated view linking these critical data sources, the firm lacked a single source of truth for investor information. Building a complete and accurate investor profile required teams to manually search, compare and reconcile data across multiple systems before responding to investors, fund managers or Authorised Corporate Directors (ACDs).
As the business evolved, inconsistencies emerged between records, including differences in contact details, risk classifications and beneficial ownership information. Determining which information was current, accurate and reliable became increasingly difficult, making every enquiry, review and regulatory process more time-consuming than it needed to be.
Rather than operating through an efficient exception-based model, teams spent significant time validating information, resolving discrepancies and responding to data queries. The result was increased operational effort, heightened regulatory risk, slower response times and reduced confidence in the integrity of investor records.
The solution: Controlled data remediation & consolidation
Puritas implemented PureClient to consolidate investor and entity information into a single connected record. Data was profiled, duplicate and conflicting records identified, and remediation carried out before the information became part of the live platform.
Ownership relationships were modelled as connected structures rather than free-text notes, providing a complete view of beneficial ownership and related entities. Generic data import templates enabled large volumes of data to be migrated under controlled processes rather than through manual intervention.
” The greatest challenge wasn’t collecting investor data. It was trusting it. By bringing every record in one place, the business gained a single source of truth that everyone could rely on.”

The outcome: A trusted, connected investor
Investor details, financial records, compliance information, and supporting documentation now sit in one record. Administrators answering a query from an investor, a fund manager, or an ACD read one system rather than four, and no longer reconcile conflicting versions before they can reply.
The remediation happened before go-live, so the duplicate and conflicting records were resolved rather than inherited. Reporting stopped carrying caveats, because the numbers came from one record instead of several that disagreed.
Teams that previously spent their time validating data now spend it on the exceptions that need judgement.
