The challenge: a fragmented onboarding experience
A fund administrator was assembling investor onboarding requirements by hand, against lists maintained separately from the investor record. Documents arrived in stages through several channels and were reviewed one at a time. A missing certification or an incomplete supporting document restarted a chase that had often been running for days already.
Administrators had no single view of how far any investor had progressed, or whether the information already gathered was complete and current. Compliance status, CDD, and risk information sat apart from the investor record, so confirming that every requirement had been satisfied meant checking several places and relying on what individual team members remembered about each case.

Why it mattered: delays shaped the relationship before the first investment
The operational cost was real, but the cost to the investor relationship was the one that lasted. Repeated requests for information the administrator had already received, and delays with no clear explanation, formed the investor’s first impression of the firm before any money moved.
For the administrator, onboarding time was unpredictable. Without visibility of what was outstanding or who owned the next step, the firm could not tell a fund manager when a new investor would be live, and could not staff for it either.
The solution: Controlled data management with intelligent automation
Puritas implemented a structured investor onboarding process using PureClient, binging investor data, documentation, compliance information and operational workflows together within a single controlled environment. Rather than relying on spreadsheets, emails and disconnected systems, administrators worked from one trusted investor record throughout the onboarding process.
Investor onboarding requirements were automatically determined by the investor type and the regulated jurisdiction, ensuring the correct information and documentation were requested from the outset rather than assembled manually. Documents were captured directly against the investor record, creating a complete and auditable history of each investor relationship.
Compliance status, customer due diligence (CDD), anti-money laundering (AML) information and risk assessments were managed alongside the investor record, ensuring operational and regulatory information remained connected rather than maintained separately.
Operational controls were embedded within the onboarding process, allowing administrators to prevent transactions where compliance reviews, approvals or other conditions had not yet been satisfied. Controls could be applied at fund, portfolio or entity level depending on operational requirements.

Once onboarding had been completed, verified investor information flowed directly into the PureFunds register, removing duplicate data entry and creating a connected process from investor onboarding through to ongoing fund administration.
The outcome: Trusted data, better control and greater efficiency
The transformation created a more controlled and transparent onboarding process, supported by automation, improved reporting and a single trusted view of investor information.
Administrators no longer needed to spend time searching for information, chasing documentation or reconciling data across multiple systems before onboarding could be completed. Instead, teams could focus on managing exceptions and progressing investors through the onboarding process more efficiently.
Every stage of the onboarding process is supported by a complete audit trail, providing clear visibility of outstanding activities, completed approvals and the status of each investor relationship.
The firm now has a controlled onboarding process built around trusted investor data, giving administrators greater visibility, reducing manual effort and providing a scalable foundation for future growth.
“Most onboarding delays are not caused by missing documents. They’re caused by uncertainty over what’s still outstanding, who owns the next step and whether the information can be trusted. Bringing those things together in one controlled process changes the experience for both fund administrators and investors.”
