The challenge: Investor data fragmented across multiple systems 

A fund administrator, like many others, had developed a complex technology landscape as its business expanded across different products and jurisdictions.

UK retail funds were managed on one system, ISA and JISA accounts were maintained elsewhere to support their specific requirements, and offshore and international fund structures were administered on another platform. Compliance and customer due diligence (CDD) information sat in a separate application, while reporting often relied on spreadsheets and third-party tools to bring information together.

Each system fulfilled a specific purpose, but collectively they created a fragmented and complex operating model. Teams had to search across multiple applications to build a complete view of an investor relationship. Reporting often required data to be extracted, reconciled and combined before it could be shared with management, clients or regulators.

The organisation wanted to simplify this environment and create a consistent, trusted view of investor information across the business.

Why it mattered: The complexity sat between the systems 

The impact extended well beyond the technology itself.

As the number of systems increased, so did the complexity of understanding how information moved between them. Knowledge of those processes often sat with a small number of experienced team members, creating key-person dependency and making it harder to onboard new staff.

The absence of a connected data model also made it more difficult to maintain consistency across investor servicing, dealing and registration, compliance and reporting.

The opportunity was to replace that fragmentation with a shared data foundation that could support the investor lifecycle across products, teams and jurisdictions with a single source of truth.

The solution: Bringing investor data into a connected platform 

Puritas worked closely with stakeholders across operations, transfer agency, investor services, compliance, and management teams to understand how investor information was created, maintained and used throughout the organisation.

Through a series of workshops and process reviews, the teams identified duplicate records, reconciliation points, reporting dependences and the processes that required information to move between different systems.

Puritas then migrated the fund registers onto PureFunds and client and related-party data into PureClient, creating an integrated data foundation across the two systems.

A single, connected investor record 

Investor information is maintained within the appropriate part of the Puritas platform and made available across the processes that depend on it.

PureFunds and PureClient work together to provide a connected view across investor servicing, dealing and registration, AML, risk and compliance, and investor and fund reporting.

Instead of searching across multiple disconnected systems, users can search across both PureFunds and PureClient to find the investor and related information they need.

Supporting different products & jurisdictions

The consolidated approach allows different investment products and fund structures to operate within the same platform environment rather than requiring separate systems for each part of the business.

This includes UK retail funds alongside European, offshore and international fund structures, giving the organisation a more consistent operating model across its different product ranges and jurisdictions.

Centralised Reporting 

Bringing the underlying information into a connected platform also simplified reporting.

Management information, investor reporting and operational oversight can be produced from consistent data without the same reliance on exports, spreadsheets and manual reconciliation across multiple sources.

Automated report scheduling further reduces the administrative work involved in producing and distributing regular reports, while improving the accuracy, consistency and timeliness of management information.

Stronger governance & control 

A major benefit of the project was increased transparency.

With data, workflows and operational processes brought into a connected environment, management teams gained greater visibility across the business.

Centralised reporting, audit trails and workflow monitoring provide clearer oversight of activity, while reducing the duplicate data maintenance and manual reconciliation associated with the previous operating model.

The result is stronger auditability, greater confidence in data quality and less operational dependency on individuals understanding how multiple disconnected systems fit together.

The outcome: One connected view across the investor lifecycle 

The organisation has moved from an operating model built around separate systems and manual reconciliation to a connected platform supporting investor data and activity across the business.

Teams no longer needed to navigate multiple disconnected systems to understand an investor relationship or manually bring together information for routine reporting. PureFunds and PureClient provide a shared data foundation across dealing and registration, client and related-party information, compliance and reporting.

This has reduced reliance on spreadsheets and manual reconciliation, improved transparency and strengthened governance and auditability. It has also reduced key-person dependency by making information and processes easier to access and understand across operational teams.

Most importantly, the organisation now has a scalable platform capable of supporting different product types and jurisdictions without recreating the fragmented operating model it set out to replace.
